About eSHARS
What does SHARS stand for?
SHARS stands for School Health and Related Services. It’s a Texas Medicaid program that allows school districts to receive federal reimbursement for health-related services provided to eligible students.
Which states does eSHARS support?
Currently, eSHARS is designed specifically for Texas school districts and integrates with TMHP (Texas Medicaid & Healthcare Partnership).
How many districts use eSHARS?
eSHARS serves approximately 90-100 Texas school districts, with the number fluctuating due to competitive market dynamics.
User Access
How do I get an account?
Contact your District Administrator. They can create your account and assign appropriate roles based on your job function.
What roles are available?

Can I have multiple roles?
Yes, users can be assigned multiple roles. For example, a supervisor might also have clinician privileges.
Visits & Documentation
What types of services can be documented?
eSHARS supports 60+ service types including:
- Speech Therapy
- Occupational Therapy
- Physical Therapy
- Psychological Services
- Nursing Services
- Transportation

How long do I have to document a visit?
Check with your district policy. Most districts require documentation within a specific timeframe (often 5-10 business days) after the service date.
Can I edit a visit after submitting?
- Draft: Can be edited freely
- Released: Can be recalled by clinician
- Approved: Cannot be edited (requires appeal)
Billing & Payments
How does Medicaid billing work?
- Clinician documents visits
- Supervisor approves
- System checks eligibility
- Eligible visits are batched for billing
- Claims submitted to TMHP
- Payments received and reconciled
What makes a visit billable?
- Student has active Medicaid coverage
- Parental consent on file
- Valid ARD/IEP with authorized hours
- Visit documented completely
- Supervisor approved
Why was a visit marked “Not Billable”?
Common reasons:
- Student not Medicaid eligible on service date
- Parental consent expired
- Exceeded ARD hours
- Missing required documentation

Is there a mobile app?
Yes! The eSHARS mobile app is available for iOS and Android. Contact your District Administrator for access.
Can I access eSHARS offline?
